A superbill is essentially an itemized receipt that your clients can use to request reimbursement from their insurance company when you’re an out-of-network provider. Think of it as a bridge between cash-based services and your clients’ out-of-network benefits. If you’re running a private pay practice, providing superbills is a great way to help your clients recover some of their costs while still getting paid your full fee upfront. Clients who pay cash or use out-of-network benefits can submit the superbill to their insurance company, which will reimburse them directly for the covered portion of the services (if eligible). Just remember, it’s the client’s responsibility to handle the submission and follow up with their insurer—you don’t get involved in the reimbursement process.


How a superbill is used

A superbill typically includes key details like treatment diagnoses, CPT codes (for the services you provided), and payment information. It’s not the same as an Explanation of Benefits (EOB), which is sent to the client by their insurance company after the claim is processed. And heads up—superbills aren’t for Medicare! Medicare requires OTs to bill them directly. You can generate superbills manually or use an EMR system to create and send them automatically. By offering superbills, you’re adding value to your private practice without dealing with the administrative burden of being in-network with insurance companies.
